Sign in and allow mailbox access

Continuing signs you in with Google and, in the same step, asks for read-only access to that account’s Gmail so we can find invoice PDFs. (Microsoft / Outlook will be available later.)

  • Look for PDF attachments that look like invoices (last 30 days, then ongoing)
  • Store invoice PDFs only, plus extracted fields (amounts, dates, and the vendor/supplier name and tax number, which may identify a person or a company), kept at most 24 months (or until you disconnect)
  • Keep an encrypted refresh token so we can check for new invoices in the background
  • Show in-app notices when new invoices appear (no email push in this pilot)
  • Extracted vendor or supplier names may identify natural persons

We will not store email subjects, bodies, or headers.

PDFs that are not invoices are deleted immediately after we check them.

Disconnect anytime to delete the token, stored PDFs, and invoice data.

To extract invoice fields we send only the text of each invoice PDF (not the file, never email content) to OpenRouter (US), which sends it to the AI model gpt-4o-mini, run only with zero data retention and no training (currently by Microsoft Azure; if that is unavailable, the invoice stays pending and its text is never sent to a provider that retains data). This text can include names and NIFs shown on the invoice and may be processed in the United States or elsewhere outside the EU. Your stored files and data stay in the EU.
